Software subscriptions are convenient. They let a business start quickly without paying to build everything from scratch.
But there is a point where the monthly software stack starts looking ridiculous.
You have one system for leads, another for scheduling, another for reports, another for customer files, and three employees moving information between all of them. Every tool is pretty close to what the company needs, but none of them actually fits the workflow.
SaaS Is Great Until the Workarounds Become the Job
Software as a Service is a proven model, and Amazon Web Services has a useful overview of what SaaS means. We use plenty of subscription software ourselves.
The problem is not the subscription. The problem is paying for software and then paying employees to work around it.
If someone exports a CSV from one platform every day, cleans it up, and imports it into another, the real cost is not just the license fee. If employees maintain a shadow spreadsheet because the official system cannot produce the report they need, that workaround has a cost too.
Custom Software Does Not Have to Replace Everything
Sometimes the smartest solution is to keep the good SaaS products and connect them.
A small custom application can sit between a CRM, accounting software, a website, and an internal database. APIs can move the data automatically. A custom dashboard can give employees one place to see the information they actually use.
That kind of project is a big part of the custom programming work we do at Firecane Digital. If the workflow needs to reach customers or employees in the field, it can also become part of a mobile application.
Do the Math on the Workaround
Add up the subscriptions. Then add the employee time spent copying information, correcting errors, building manual reports, and explaining the workaround to every new hire.
A custom solution does not always win that comparison. But once the workaround becomes a permanent business process, it is worth doing the math.
If your Austin company has a collection of software that almost works together, contact Firecane Digital. We can help determine whether an integration or a small custom application would simplify the stack.
